Manager, Facility Licensure & Certification (Finance)

SUMMARY

The Manager, Licensure and Certification will work closely with the Director, Facility Licensure and Certification to ensure the team completes all provider licensure and certification paperwork effectively, timely, and accurately. This individual will also work to gather information for and complete initial applications for Medicare, Medicaid, and Licensure and train team members on future renewals. The Manager will be a strong problem solver and researcher and will oversee more complex scenarios and will foster a more data-driven environment for the team. The Manager will remain in compliance with all related state and federal requirements.

Essential Duties and Responsibilities

• Assists with and/or oversees facility licensure and certification paperwork, processes, internal and external communication and follow up to ensure timely approval. Troubleshoots and negotiates as needed.
• Guides Licensure and Certification team with more difficult tasks, new regulations, answering questions, and training.
• Works closely with the Director, Facility Licensure and Certification on analytic and research projects related to licensure, certification, portals, team building, and improving processes.
• Assists with and possesses strong knowledge of Change of Ownership, Closures, Expansions, and other change type of applications.
• Is able to fully grasp complicated ownership changes involving higher level entities, buy ins, buy backs, dilutions, capital contribution changes, and other scenarios.
• Possesses strong working experience with MS Visio and can assist Director of Facility Licensure and Certification with creating organizational charts for facilities.
• Is able to understand Management, Operating, and Medical Director Agreement language.
• Assists Director of Facility Licensure and Certification with creating, growing, and maintaining a network drive on MS Teams for the Licensure and Certification team to house completed paperwork, correspondence, various guidelines and instructional documents, forms, and any other relevant materials.
• Possesses solid technical knowledge of web-based portals for provider enrollment and related purposes. Experience with PECOS and other Medicaid portals a plus.
• Understands federal and state regulations for End Stage Renal Disease providers related to licensing and certification requirements. This includes accreditation agency requirements.
• Highly competent in MS Excel to be able to create, analyze and reconcile data related to facility demographic information, Medical Director and physician partner information, ownership information, and licensure tracking information and can identify gaps and troubleshoot issues. Communicates findings to Director and works together to resolve.
• Can learn new apps and programs such as Smartsheets, MS Dynamics, and internal applications quickly and accurately.
• Can multi-task and pivot to re-prioritize tasks smoothly and quickly based on the current situation.
• Communicates regularly with team and Director related to work progress, issues, and updates.
• Attends Divisional and facility-specific calls and can report on the status of applications being worked.
• Possesses strong Adobe Pro skills to be able to create new forms and improve existing ones.
• Responds to emails and voicemails in a timely manner.
• Acts as a backup to Director of Facility Licensure and Certification if needed to attend meetings, report status, and supervise the team during times off, unavailable, or in schedule conflict.
• Reviews Licensure mailbox routinely and assigns emails to team members and moves to their inbox.
• Upholds management goals of corporation by promoting corporate values and leading staff in team concepts and promoting a team effort.
• Maintains effective personnel management and employee relations, including evaluating the performance of all personnel; approving and submitting all hours worked and counseling and disciplining employees as needed
• Recruits, trains, develops, and supervises personnel as needed.
• Actively promotes strong GUEST (Greet, Understand, Education, Satisfy, Thank) customer service standards; develops effective relationships at all levels of the organization.
• Effectively communicates expectations; accepts accountability and holds others accountable for performance.
