Administrator, Member and Corporate Insurance Programs (Administrative)
Job Summary The overall purpose of this position is to support the goals and objectives of the IEEE Member and Corporate Insurance Programs under Finance and Administration. This role will report to and primarily provide support to the Director, Member and Corporate Insurance Programs and also serve as a back-up and provide support to the Associate Manager, Member Group Insurance Programs.
Key Responsibilities
The incumbent will become familiar with the IEEE Member and Corporate Insurance programs in order to perform various administrative functions to support each Program within the Finance and Administration Department, under minimal supervision.
Perform accounting functions such as preparing recurring journal entries and accruals, general ledger account reconciliation (revenue and expense), allocation worksheets, budget and forecast support, coding and submission of account payables invoices and reconciliation of cash receipts in support of the Member and Corporate Insurance Programs.
Perform procurement functions such as inputting and management of contracts in the Contract Management System, as well as all tasks related to requisitions and purchase orders.
Perform customer service functions such as engaging with members and volunteers in regard to verifying members' eligibility for participation in the IEEE member group insurance portfolio, and other insurance related inquiries. The incumbent will be responsible for issuing certificates of insurance to the various IEEE organizational and business units as well as responding to requests for information, Visa letters, and ID cards related to the IEEE Volunteer Global Travel Accident Plan. The incumbent will coordinate responses to member and volunteer insurance related inquires/complaints with subject matter experts, the IEEE Contact Center and/or Third- Party Administrators.
Assist with monitoring Program activity such as tracking levels of monthly/quarterly member participation and royalty data received from partners. Assist with developing department metrics and activity reports.
Assist with other insurance related functions/projects as needed including but not limited to:
Organization of insurance documents in adherence to IEEE Record Retention Policy
Insurance claims management
Maintenance of IEEE Fleet Policy and authorized drivers
Workers Compensation audits and quarterly reporting for monopolistic states
Special projects as necessary
Education
Bachelor's degree or equivalent experience Business or related field Req
Work Experience
2-4 years Approximately 2-4 years experience developing skills outlined above Req
Experience with insurance industry practices, risk concepts, and familiarity with insurance products is a plus. Pref
Skills and Requirements
Must possess strong analytical, communication, financial, organizational and presentation skills.
General knowledge of financial services industry and insurance is preferred
Must be able to meet deadlines and multi-task
Position requires good working relationships with members of other departments, but requires most tasks to be accomplished independently
Must be accurate with numbers
Excellent written and verbal communications skills in English required to communicate effectively with members and business partners and staff at various levels.
Strong Excel, Word, and PowerPoint skills needed.
Knowledge of Siebel or similar data and analytics package preferred
Must be innovative in finding solutions and improving processes
