Program Assistant (Triage) Adult CSU Lawrenceville, Ga. (Education)
Under general supervision, performs a variety of general secretarial, clerical, and administrative support functions/processes or a few specialized or essential clerical functions in support of a unit or office and related personnel. May enter data and/or process documents and records. The work includes operating standard office equipment. Work is performed under the general supervision of a clerical or administrative supervisor.
Duties and Responsibilities
Facilitates admissions into CSU. Complete triage referrals logs, verify insurance coverage, complete prior and concurrent authorizations, ensures timely response to all calls. Request initial and concurrent treatment authorizations within required time frames. Records accurate and clear information about referrals and register and discharge individuals from program in the ECR and GCAL Board, as appropriate. Monitor the BHL board for potential admissions, and documents any reviews, acceptances, or denials Research and/or responds to referral sources questions and other requests for information or assistance. Functions as the entry point for referrals to the program and makes an initial determination of the possibility of the caller's eligibility for services. Performs general administrative support for the unit such as scanning and uploading to ECR, filing, faxing, printing, and general clerical work, as needed. Supports direct care to meet ratio or due to acuity. Schedules and manages transportation trip orders for clients being admitted to the facility or sent for medical evaluation. This includes verification of address and tracking of completed trips versus no-shows. Assists clients with receiving timely pick-ups for all scheduled trips. Assists with calculating census, BHL tracker, KPIs monthly, Triage Audit, AMA and acuity tracker reports and tracking. Requests initial and concurrent treatment authorizations within required time frames. Completes triage referrals logs, verify insurance coverage, complete prior and concurrent authorization, ensures timely responses to all calls. Completes admissions documentation: consent, insurance information, etc. Records accurate and clear information about referrals and register and discharge individuals from program in the ECR and GCAL Board, as appropriate. Answers intake phone, screens, responds to emails/fax regarding admissions inquiries, and reviews referrals, to include Determining the callers needs, providing clear and correct information to the caller about routine processes for admission, or refers calls to the appropriate staff members, or alerts appropriate staff if the call is of an emergency nature. Records clear, accurate and complete telephone messages and routes them to appropriate staff. Greets clients and other visitors promptly and courteously. Determines their needs, responds to their routine questions, and secures any necessary information. Directs them to correct locations. Assists with visitation and scanning visitors log to Corporate Compliance. Assists with calculating census, BHL tracker, KPIs monthly, CMO tracker, AMA, Admission and referral log and acuity tracker reports and tracking. Attends Treatment Team and takes daily Treatment Team notes. Prepares and sends outgoing documents, FAXs, e-mails, and other materials, according to established procedures and confidentiality regulations. Classifies, sorts, transfers and/or files records and other materials using standard procedures. Maintains the confidentiality of clinical record information. Secures appropriate releases of information, as needed. Uploads and scans charts into client ECR. Conducts follow-up calls to clients after discharge and follows-up on suicide prevention protocols. (If needed) Maintains databases, logs, and other records of routine information. Compiles information from these sources and other data sources as necessary Generates and distributes reports that are accurate and timely.Maintains organized and accessible filing system and follows confidentiality regulations regarding maintenance and release of file information.
Minimum Qualifications:
Master's degree in a related field from an accredited college or university AND eligibility to be licensed OR Bachelor's degree in a related field from an accredited college or university AND Two years of experience in social service delivery.
Preferred Qualifications:
Bachelor's degree in a related field from an accredited college or university AND experience in clerical skills and data tracking. 1 year of experience working in an inpatient or CSU environment 1 year experience working in admissions in an inpatient setting.
Requirements/Competencies:
Must be able to lift 20 pounds.Requires long periods of sitting/standing.Must have valid Georgia drivers license and Motor Vehicle Record in accordance with company policy.Candidates for selection must pass a criminal background check (including fingerprinting).Must pass a pre-employment drug screen and subject to random drug screens.Any combination of training and experience, which would have enabled the applicant to acquire the necessary knowledge, skills and abilities Note: Some positions may require a valid driver's license.
