Office Manager (Administrative)



General Responsibilities:
We are seeking a dedicated and organized Office Manager to join our team full-time. This role is pivotal in ensuring the smooth daily operations of our clinic, supporting both administrative and clinical functions. The Office Manager will serve as the first point of contact for patients, families, and visitors while providing vital support to the medical team and ensuring seamless communication between departments.

Administrative Support:

Oversee daily office operations, ensuring efficiency and organization.
Manage incoming and outgoing correspondence, including monitoring and responding to phone calls and faxes.
Provide general administrative support to the clinical and management teams, including document preparation, scheduling, and maintaining records.


Patient and Guest Relations:

Greet and assist all visitors, patients, and families with professionalism and warmth.
Support the new-client intake process, ensuring all necessary documentation is collected and accurately recorded.
Field and route incoming phone calls, addressing inquiries or directing them to the appropriate team members.


Medical Team Assistance:

Support the medical team with scheduling, preparation of materials, and follow-up tasks as needed.
Manage flow of clients to medical provider when they are working remotely.
Act as a liaison between the medical team and the pharmacy to ensure timely medication fulfillment and resolve any issues.


Operational Oversight:

Ensure that the front desk is organized, stocked, and welcoming for guests and staff.
Monitor and maintain office supplies inventory and coordinate orders as needed.


Other Duties:

Support staff during meetings by coordinating logistics and preparing materials.
Perform other tasks as assigned to support the organization's operations.


Qualifications:
Education and Experience:

High school diploma or equivalent required; associate's or bachelor's degree preferred.
Minimum of 2 years of administrative, customer service, or office management experience, preferably in a healthcare or clinical setting.


Skills and Abilities:

Excellent organizational skills with strong attention to detail.
Exceptional verbal and written communication skills.
Ability to multitask and prioritize tasks effectively in a fast-paced environment.
Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other office management tools.
Comfortable working in a team-oriented, patient-focused environment.

Work Schedule:

This is a full-time, on-site position with standard hours, Monday through Friday. Flexibility may be required to meet organizational needs.
